Terms & Conditions

These Terms and Conditions govern your child’s participation in NOVA’s after-school and holiday club programmes. By enrolling your child, you confirm you have read, understood, and agreed to the following terms.

1. Booking and Payment
  • Bookings must be made through NOVA’s website or approved booking platform.
     

  • Full payment is required in advance to secure a place. No child will be permitted to attend without prior payment.
     

  • Places are allocated on a first-come, first-served basis.
     

2. Cancellations and Refunds
  • Cancellations made more than 14 days before the activity start date will receive a full refund.
     

  • Cancellations between 7 and 14 days prior will receive a 50% refund.
     

  • Cancellations made less than 7 days before the session start are non-refundable.
     

  • If NOVA cancels a session due to unforeseen circumstances, a full refund or credit/rescheduled session will be offered.
     

  • No refunds will be issued for missed sessions unless agreed in writing.
     

3. Attendance and Collection
  • Parents/carers must ensure timely drop-off and collection.
     

  • Children must be collected promptly by a designated adult. Changes must be communicated in advance.
     

  • A late collection fee of £10 per 15 minutes (or part thereof) will apply after the scheduled pick-up time to cover staff supervision.
     

 

4. Health and Medical Information
  • Parents must disclose any medical conditions, allergies, or additional needs upon registration.
     

  • It is the responsibility of the parent/carer to keep this information up to date.
     

  • NOVA staff are trained in basic first aid and will contact emergency services when required.
     

5. Behaviour and Conduct
  • Respectful behaviour is expected at all times.
     

  • NOVA has a zero-tolerance policy for bullying or conduct that compromises safety.
     

  • Persistent inappropriate behaviour may result in removal from the programme without a refund.
     

6. Health, Safety, and Safeguarding
  • NOVA follows strict health and safety procedures in line with national guidance and our Health and Safety Policy..
     

  • Staff receive safeguarding training and adhere to NOVA’s Safeguarding and Child Protection Policy.
     

  • Concerns can be raised directly with our Designated Safeguarding Lead: Ben Silver.
     

7. Photography and Media
  • Photographs or videos may be taken for promotional purposes.
     

  • Consent will be sought during registration. You may withdraw consent at any time by contacting NOVA in writing.
     

 

8. Liability and Insurance
  • While every precaution is taken, NOVA accepts no liability for loss or damage to personal property during sessions.
     

  • NOVA holds appropriate public liability insurance.
     

  • Parents/carers agree to indemnify NOVA against any claims arising from their child’s actions during the programme.
     

9. Data Protection and Privacy
  • NOVA complies with the UK GDPR and the Data Protection Act 2018.
     

  • Personal information is collected solely for administrative and safeguarding purposes.

10. School Premises and Venue Use
  • Venues hosting NOVA activities are not responsible for programme delivery.
     

  • NOVA operates independently, with separate insurance and safeguarding policies.
     

11. Amendments to Terms
  • NOVA reserves the right to amend these terms at any time. Significant changes will be communicated to parents in writing.
